  6.     Information contained on this file is for your reference to assist
  7. you in understanding the HOME-PHONE-BOOK.  The material is separated into

  26. I. INTRODUCTION *************************************************************

  28.     The HOME-PHONE-BOOK (HPB) program was developed specifically for
  29. the home computer market.  It incorporates many features found in the more
  30. sophisticated commercial products while maintaining an ease of use for the
  31. casual user.  The HPB's unique combining of names makes it the right choice
  32. for the home user.  It combines the first names, if provided, of both heads
  33. of the house.  This combine feature is useful for making Christmas labels
  34. or other documents that require both names.  Because of the combine feature,
  35. information such as birthdays and work phone numbers can be separately stored
  36. with each head of the house.

  38.     The HPB is distributed under the shareware concept which allows the
  39. user to review a program prior to its purchase.  A registration form can be
  40. printed by pressing the F1 key on the initial screen.  Your registration
  41. fee entitles you to 1) the latest version of the program, 2) future updates
  42. at reduced prices, 3) bonus software, and 4) the opportunity to offer your
  43. suggestions to the program developers.

  51. II. SYSTEM REQUIREMENTS *****************************************************
  52.  
  53.     The HPB program requires DOS 2.0 or later, 512K RAM, and a hard disk
  54. to really be effective.  Depending on the number of records being stored,
  55. the program will use up to 500KB of disk storage capacity.  Black & White
  56. and Color monitors are supported in text mode - no graphic cards are
  57. required.

  60. III. HARD DISK INSTALLATION *************************************************
  61.  
  62.     The following instructions assume your hard disk is your C-Drive.
  63. The symbol <enter> means to press the ENTER-KEY.
  64.  
  65.     1) Insert the distribution disk into your system's A-Drive
  66.     2) At the DOS prompt C> enter: cd \    <enter>
  67.     3) At the DOS prompt C> enter: md \hpb <enter>
  68.     4) At the DOS prompt C> enter: cd \hpb <enter>
  69.     5) At the DOS prompt C> enter: copy a.*.* c:\hpb\*.* <enter>
  70.        Note: This step will copy all of the files from the distribution
  71.          disk into the hpb directory on your C-Drive.
  72.     6) Installation is now complete.  To execute the HPB program, simply
  73.        enter HPB and press the ENTER-KEY.  The first time you execute
  74.        the program, it will ask you if you have a color monitor.  It
  75.        will store your response in the configuration file (HPB.CFG).

  77.     Although the HPB program can be executed from a floppy disk, its data
  78. file requirements can become more than the storage capacity of a 360KB
  79. floppy.  Also, the use of a floppy to store data severely impacts the
  80. program's response time when accessing the HPB data file.  Therefore, it is
  81. not recommended to execute the program from a floppy disk except for a
  82. brief trial period.

  85. IV. MULTIPLE DATA FILES *****************************************************
  86.  
  87.     Although the HPB program can store up to 1000 names, which is more
  88. than a typical household would use, there may be times when you want to store
  89. your data on separate files.  For example, your children may want to keep a
  90. list of their friends separate from your phone book.  Or, if you own a small
  91. business, you may wish to keep your business contacts separate from your
  92. personal phone book.  For whatever reason, this procedure will show you how
  93. to accomplish this feat.

  95.     This procedure assumes you installed the HPB program and its files
  96. according to the installation procedure described above.  The procedure
  97. creates sub-directories under the HPB directory to store your data and
  98. associated configuration files.  The procedure will create two data
  99. directories, one for your home names and one for a club for which you are a
  100. secretary and must maintain a list of club members.  The symbol <enter>
  101. means to press the ENTER-KEY.
  102.  
  103.     1) At the DOS prompt C> enter:     cd \hpb  <enter>
  104.     2) At the DOS prompt C\hpb> enter: md \home <enter>
  105.     3) At the DOS prompt C\hpb> enter: md \club <enter>
  106.     4) At the DOS prompt C\hpb> enter: copy hpb.dat c:\hpb\home\hpb.dat
  107.     5) The procedure is now complete.  To execute HPB using your home
  108.        data file, change the directory to \hpb\home (cd \hpb\home) and
  109.        execute HPB by entering \hpb\hpb.  To use your club data file,
  110.        change the directory to \hpb\club (cd \hpb\club) and execute HPB
  111.        by entering \hpb\hpb.  The initial execution of HPB using a new
  112.        data directory will ask you if you have a color monitor and then
  113.        store your response in a new configuration file.  A configuration
  114.        file will be created for each data file.

  117. V. COLOR VS. BLACK & WHITE **************************************************
  118.  
  119.     The initial execution of the HPB program asks if you have a color
  120. monitor.  If you respond yes, a color scheme is used for all displays.  If
  121. you respond no, the program displays all screens in black and white.  Your
  122. response is stored in the configuration file and you will not be asked again
  123. if you have a color monitor.
  124.  
  125.     However, if for some reason you wish to change your response to the
  126. color monitor question, all you need to do is to delete the configuration
  127. file (del c:\hpb\hpb.cfg).  The color monitor question will be ask the next
  128. time you execute the program.

  131. VI. CONFIGURATION FILE ******************************************************
  132.  
  133.     The configuration file stores various information that you have
  134. entered so you don't have to re-enter information every time you execute
  135. the HPB program.  The configuration file (HPB.CFG) stores the following
  136. information:
  137.  
  138.     . monitor type (color or black and white)
  139.     . standard print question responses
  140.     . printout title line
  141.     . return address for envelope printing
  142.  
  143.     With the exception of the monitor type, all information can be
  144. changed and stored anytime during any program execution.  The monitor type
  145. can not be changed unless you delete the configuration and re-execute the
  146. program.  If you delete the file, all configuration information will be lost.
  147. However, it is easily re-entered.

  150. VII. FEATURES ***************************************************************
  151.  
  152.     The HPB program has numerous features, most of which are intuitive
  153. and require no explanation.  There are however, a few features that can be
  154. expanded upon to assist the user in getting the most out of the program.
  155. These features are explained below.
  156.  
  157.     A. Select Codes (SLCs) - The select codes allow you to categorize
  158.        your names so you can be selective in your printouts.  For
  159.        example, an 'X' SLC can signify people on your Christmas label
  160.        list.  An 'E' SLC could signify an emergency phone number.  The
  161.        name of the SLC is totally up to you.  You can have up to
  162.        14 SLCs.

  164.     B. Browse - The last name search, or browse as some people call it,
  165.        allows you to enter the first letter of a person's last name
  166.        on the index screen to page into the data file.  Once you have
  167.        paged into the file, you then use your cursor keys to space
  168.        forward/backward to find the desired name.  Since all last
  169.        names begin with a capital letter, lower case letters are
  170.        converted to upper case.

  172.     C. Foreign Addresses - To enter a foreign address, simply use the
  173.        first three address lines and ignore the city, state, and zip
  174.        fields.

  176.     D. Married Couples with Different Last Names - This problem is
  177.        overcome by using the first first name field to enter a full
  178.        name.  For example, Jane Smith & John Doe would be entered as:
  179.             Last Name: Doe
  180.          First First Name: Jane Smith
  181.         Second First Name: John
  182.  
  183.     E. Print Questionnaire - The questionnaire asks you to respond to
  184.        several questions.  However, not all of the questions are used for
  185.        every print options.  Those questions related to paper output,
  186.        for example, are not used on a screen display.  The questions,
  187.        however, do need to be answered to get by the program edits.  The
  188.        initial execution of the program creates a standard set of
  189.        responses which you can change to suit your needs.

  191.     F. Page Break on E-I-M-R-U - This question on the print questionnaire
  192.        is asking you if you wish your output to page break on the letters
  193.        E, I, M, R, U.  The page break facilitates the use of tabs in a
  194.        three ring binder.

  196.     G. WordPerfect(R) Merge Option - This option creates a WordPerfect(R)
  197.        merge file that can be used to merge name and addresses into a
  198.        predefined letter.  Once the merge file (HPBWP.MRG) is created,
  199.        you will need to merge the file with your WordPerfect primary
  200.        file by using the CONTROL-F9 command in WordPerfect(R).  Consult
  201.        your reference manual for additional information.

  203.     H. Envelope Return Address - The HPB program allows you to enter a
  204.        return address for printing on an envelope.  Don't confine
  205.        yourself to a tradition return address, be creative!  For example,
  206.        if you are creating envelopes for Chistmas cards make the return
  207.        address something like this:
  208.             Merry Christmas from
  209.             John and Jane Doe
  210.             123 Main St.
  211.             Somewhere-in, NE 68999
